The approved minutes were posted to the RRSMC web site as of May 2012. Treasurer’s Report: RRSMC started May with $6,815.69. RRSMC board members paid the following charges in April 2012: NCGA dues, $92.00; board lunch, $67.70. Payments approved by board members. There are currently 154 club members. Tournament Chairman’s Report: For the most part, the scorecards are being completed properly when turned in. There are still some scorecards not completed correctly when turned in and those members are being disqualified each week. Some of the issues are improper names (proper format is last name, first initial), unrecognizable scores and over ridden numbers. When there is a question, the Tourney Chair has no other option other than to disqualify those members. Please review your scorecards prior to turning them in for scoring. Handicap Chairman’s Report: The RRSMC Championship Tournament and flight brackets have been determined. Information available on the web site. The sign up sheets will be available starting June 2, 2012. Just a reminder that if a member wants to play either the Championship or one of the flights, as well as the regular weekly Tournament, there must be a scorecard for both events. Any questions contact Tourney Chair Bernie Wyman. Rules Chairman: Nothing to report regarding rules. A change to this position noted under new business. President’s Report: The Windsor Tournament is scheduled for Windsor Golf Course, Monday, June 25, 2012, with a breakfast starting at 7:00 AM and a starting time of 8:00 AM. Lunch is included. The tournament is currently full with 22 members from Rooster Run. There is a possibility for the team to be increased to 25 members, however that is not for certain. Anyone wanting to play in this tournament can sign up on a waiting list. Anyone wishing to sign up should contact Norm Collins. He is the contact person for this tournament. New Business: Rules Chairman John Boscacci has decided he can no longer give the RRSMC the appropriate time and duty as the Rules Chairman position and has removed himself from the board. The RRSMC board discussed this position and after much input determined to consolidate this position with the Secretary position. We all wish to thank John for the time and effort he put in to make the club as successful as it as become. In March 2012 the RRSMC board notified club members through the minutes from the meeting of a proposal to continue the $3.00 a month dues. Attached is the proposal as recorded in March 2012: The board is looking at RRSMC members input and feedback regarding a continuation of the $3.00 weekly fee. The board proposal is to continue the $3.00 weekly fee after the Memorial Rock is purchased and paid off. The additional $1.00 would be applied to total pay outs as well as to include paying all par 3’s every week. Your input is needed for this important decision. Please contact a board member with your input so we can determine if this is a feasible idea that you would be willing to continue with. Tournament Chairman’s Report: Nothing to report. Handicap Chairman’s Report: The RRSMC Championship is slated for July 2012 and is quickly approaching. Sign ups for those wishing to compete will begin on June 6, 2012 with a cut off date of June 27, 2012. The NCGA handicap update on June 15, 2012 will be used for Flight seedings. A reminder to all RRSMC members that you must complete a minimum of five (5) rounds between August 1, 2011 through June 21, 2012 in order to compete. (Note: See web site or binder for information regarding open flight and match play flights.) Rules Chairman: Nothing to report. President’s Report: Absent. New Business: The Board is looking into the cost of a generic brass plate to be attached to the Memorial Rock in memory of those who are no longer with us as well as looking into the cost of having the Memorial Rock engraved with the same wording. One idea the Board discussed was the cost of retaining the same rock and using it in lieu of purchasing a new rock with the additional monies already collected to be applied to the brass plate or engraving. There was a long discussion as to what would be the appropriate choice. The Board is looking at any suggestions by members to help facilitate the final decision. Past issues were discussed and the package for the event was presented with a cost and food expense range. Based on the conversation with Lane, the Board is happy to report the Annual Banquet will once again be held at Rooster Run. The tentative date is November 10, 2012. The board is looking at RRSMC members input and feedback regarding a continuation of the $3.00 weekly fee. Per the most recent NCGA article regarding the posting of member’s scores, it is not an NCGA issue; it is the individual club’s issue, therefore it is the RRSMC issue on how to address and handle. The NCGA article will be posted to the RRSMC Website for all members to read. An additional idea to address negligent posting members’ was that if a member did not post 2 times or more in a month, a penalty score would be posted along with the most recent non-posted score. The penalty score would be the lowest score among the last 20 scores. Again, the RRSMC Board is looking out for all members to make scoring fair for all. Rules Chairman: There is a list in the most recent NCGA monthly magazine regarding new rules for the 2012 season. President’s Report: Still working on the Memorial Rock. New Business: RR Club Pro Rob Watson was contacted regarding multiple tees/combo tees for the red/white/blue tournament. Mr. Watson has to contact the NCGA to request the changes. One major problem is the maintenance required for RR to implement the changes. RRSMC may have to waive posting that tournament, or if the changes are too intrusive, not have the tournament. This change is still in the early stages. RRSMC member Glen Caldwell is now eligible to play from the forward tees. His posting requirements from the white tees to the forward tees will only be changed if he wishes to do so. RRSMC Board is asking the last group that completes the weekly tournament to pick up the closest to the pin equipment and deliver to the pro shop. One thought was to make a member ineligible for winnings if not posting 2 times or more a month for the following month. Another was to make the member ineligible for winnings each week they continue to not post their weekly scores. Again, the RRSMC Board is looking out for all members to make scoring fair for all. Rules Chairman: New rules to research for 2012. The Rules Chair will research and report back to the board for all members’ information. President’s Report: Looking for members’ feedback to the Annual Dinner for next year. New Business: February 29th will be the extra day for Leap Year. The RRSMC is looking into ideas for a fun tournament. Any input from club members is being solicited to make it an enjoyable day. We have received some updated information on the Memorial Rock. We are looking at an approximate size of 3’ x 3’ x 3’. Depending on the weight a 3-ton rock would cost approximately $400 plus the cost of cutting and polishing the rock. The RRSMC Board is looking into using the same type of plaques, or re-using the same plaques, or have the wording engraved into the new rock the same as the current rock. Both the new rock and the existing rock would be donated by the RRSMC. Just a reminder to all RRSMC members, we have contacted the other clubs who use Rooster Run as their home club and none have stepped up to assist us. All information will be provided to all RRSMC member’s, as the final numbers become more specific. There are still issues with some RRSMC members playing with non-members during our Wednesday tournaments and because of that club members cannot verify scores. Remember club members should be playing with other club members, within the weekly tournament, to eliminate questions regarding scoring/handicaps. Handicap Chairman’s Report: B. Tournament Chairman’s Report: October 5th tourney, scorecard with first names only was submitted. The team was disqualified. Please remember the correct way to submit weekly scorecards is the full last name and first initial (rules and reg., Sec.7). In addition some teams are submitting sloppy and illegible scorecards. If there is a dispute, the Tourney Chair will go to the higher of the numbers written on the scorecard or post what the Tourney Chair believes the actual number was. Handicap Chairman’s Report: B. President’s Report: A proposal had been brought forward regarding allowing club members to sign up for weekly tee times one month at a time. The RRSMC reviewed and implemented the proposal in early September. So far there has been no opposition to this proposal. New Business: Ballots have been sent out for RRSMC Board nominations. Approximately 60 ballots have been returned as of October 1 with no new nominations for any of the board positions. At the annual holiday dinner meeting, if there are nominations for any board member position, a floor vote will be conducted (by hand count) so all members will be aware of the final results. For future RRSMC Board positions, office interest postings will be completed in the month of June prior to the holiday dinner meeting. Any nominations made that are returned to the RRSMC board will be sent out the following August. The expectation is votes would be returned and tallied prior to the holiday dinner. The RRSMC voted unanimously for a donation to be made to Hospice in memory of Elmer Miller. New Business: NCGA Applications and ballots for the RRSMC Board to be mailed by mid-September. Remember if any club member wants to be a RRSMC Board member, or if any club member wishes to nominate a club member, to complete the ballot and return to any Board Member for discussion at the annual dinner. Any nominations will be discussed and voted on at the annual dinner. Board members discussed the annual dinner proposal of including two (2) drink tickets with each member. After much discussion the board voted unanimously for members to pay for their own drinks. As allowed at prior dinners club members may bring their significant others, or friends, at a cost of $20.00 for that person. Any questions contact any board member. Board members discussed funding for an “appreciation day lunch” for Rooster Run maintenance crew. The Board voted unanimously to fund the lunch. The Treasurer will make the necessary arrangements and complete the event. The Board discussed several ways to improve on the annual Club Championship. Any member with ideas contact a board member so such ideas can be brought forward for discussion. There are currently 168 club members. Tournament Chairman’s Report: The Tourney Chair disqualified 4 members from the weekly tournament of July 27. The disqualification was for improper documentation on the scorecard; the members only used their first name. The proper documentation is the last name first, followed by the first name initial. Also, remember to write legibly on the scorecards in order for the correct score to be recorded. Handicap Chairman’s Report: B. Wyman is continuing to check all members’ posted scores after each weekly tournament by matching them to the turned in scorecards. This will allow all handicaps to be accurate documented for the weekly tournaments and the yearly Club Championship. Rules Chairman: Nothing to report. President’s Report: A proposal was brought forward about possibly re-configuring the RRSMC Championship scoring. The proposal would be a hybrid of match play with stroke adjustment that would allow all members to play for the Championship. This is being looked into to determine if it is a viable option and presented to RRSMC members. Old Business: Nothing to report. New Business: A RRSMC member brought forth a proposal for the current Board to endorse any members wishing to apply for any of the board positions during an election. The RRSMC Board will not be endorsing any officers. Section II (below) from the RRSMC by-laws already addresses those issues: Section II The members shall elect the officers at the annual dinner meeting in November. The term of office shall be January 1st to December 31st. A list of candidates will be prepared by posting a notice to run for office on the web site and also a notice in the binder. This notice shall be posted at least 60 days prior to the November annual general meeting. Members will be mailed ballots to vote for a list of candidates and/or write in their own candidates. This ballot will be mailed out, along with the annual dinner invitations and renewal applications, 30 days before the annual dinner meeting. (See footnote) Return date for the ballots is October 15th. In the event there are no nominations, existing officers (incumbents) will continue in their positions, if so desired by them and the membership. If, due to lack of votes, a vacancy occurs, the office shall be filled by an appointment by the President. Members without e-mail address's will be notified by regular mail. As of August 10, 2011, a sheet will be initiated for RRSMC Board nominations and will be posted to the weekly tee time sign up sheets. The sheets will show the incumbents and nominations for all board positions. As noted in Section II, the time frame for nominations, completion of ballots and write-ins, and the return of ballots are all listed. There are currently 167 club members. Tournament Chairman’s Report: The scorecards continue to improve. Handicap Chairman’s Report: The eligible member sign up list for the RRSMC Club Championship is available as of June 1. Also, the brackets and tee times are listed on both the RRSMC web site and there is a copy of same in the club binder. There have been some issues brought up by members regarding the timeline and what members’ scores would be used in order to qualify for the RRSMC Championship. The January 5th Board Meeting addresses both issues. The following is re-printed from the original board minutes: The RRSMC Club Championship will be held in July 2011 (a reminder that majority members attending banquet voted for this change). In order to participate, a club member must complete a minimum of 5 rounds. The Board voted to will use October 1, 2010 through June 30, 2011 for participation criteria. For future Club Championships, the board will use August 1, through June 30th, of subsequent years. In order to deal with handicap and posting issues, B. Wyman will continue to check all scores after each weekly tournament. After checking all scorecards he will post all scores for those members not posting their individual scores. All members who participated in the Red, White and Blue Tee tournament (June 2011) should not have posted those scores. B. Wyman has gone through the individual postings and deleted all those scores. Old Business New Business: For all future Red, White, and Blue tournaments, all members over 80 years will only have to play from the Red tees only. The board voted unanimously for the change. Some participants in the RRSMC Club Championship are having scheduling difficulties and cannot play on Wednesday, July 13, 2011. Those individuals are responsible for making any scheduling changes with their partners. If an agreement cannot be made, the members who cannot participate due to their scheduling issues will have to forfeit their matches. The approved minutes were posted to the RRSMC web site as of June 1, 2011. Treasurer’s Report: Starting balance sheet for May 2011 was $7,089.44. RRSMC directors paid the following charges in May 2011: NCGA Dues ($46.00); Board lunch ($95.08). There was a deposit for $80.00; mailings $2.80. Payments approved by board directors. There are currently 167 club members. Tournament Chairman’s Report: The scorecards being turned in are getting better. There are still some minor issues and the board will continue to improve on those. Due to inclement weather, the June 1 tournament was cancelled. Only those members who paid for the June 1 tournament will be credited for the June 8, 2011 tournament. The $47 dollar carry over from the May 25 tournament will be added to the June 8, 2011 tournament pay out. Handicap Chairman’s Report: The eligible member sign up list for the RRSMC Club Championship is available as of June 1. The handicap chair brought forth the issue of those members (there are currently 8) who continue to not post their weekly scores (since January 2011). Under the RRSMC by-laws, Section 4 outlines the rules all members must follow in order to be eligible for the RRSMC Club Championship (Members must play at least five (5) tournaments during the year and maintain a current handicap to be eligible to compete in any flight for club championship). In the case of those 8 members who continue to not post all their scores, specifically the weekly tournaments, their current handicap is not valid. After a lengthy discussion, the board determined, even if those 8 members meet the five (5) tournament postings those 8 members do not have valid handicaps and it will preclude those 8 members from participating in the Club Championship. Those 8 members names will be removed form the eligibility list for the Club Championship. The board will address the by-laws qualification after the July 2011 club championship. There are still some minor issues and the board will continue to improve on those. Handicap Chairman’s Report: There continue to be posting issues regarding the weekly RRSMC tournament scores. The board engaged in a lengthy discussion regarding non-postings. After discussing, the board determined to post a notice on the weekly check in sheet to remind members to post. If no posting, members will not be eligible to claim any weekly winnings. The board also discussed the idea of posting scores for those will continue not to after each weekly tournament. The board will continue to look into the matter. Rules Chairman: Nothing to report. President’s Report: Nothing to report. Old Business: Winter Rules are no longer in effect. New Business: The RRSMC Board addressed the 5 round minimum to participate in the yearly Club Championship. The current minimum is totaled between October 1st through June 30th of each year. Various numbers were discussed and the board will continue to monitor and look into the matter. As of today, there are only two members who qualify and currently play from the red tees. Due to the low number of red tee members, there are not enough to facilitate having a red tee flight. Therefore, if the RRSMC develops a larger number of members playing from the red tees, the board may consider having a red tee flight. Currently, any members playing from the red tees will play from the white tees in the annual club championship. Any RRSMC members who have ideas should bring them forward to a board member for input and discussion. RRSMC directors paid the following charges in March 2011: NCGA Dues ($368.00); Board lunch ($66.19). There was a deposit for $160.00. Payments approved by board directors. There are currently 162 club members. Tournament Chairman’s Report: There continue to be issues with the scorecards when posting scores for the weekly tourneys. A guide has been developed with examples of improper scorecards and what will not be accepted in the future. The guide will be ready for the 2/9/11 weekly tourney and displayed at the sign in of each tournament. There was a disqualification for the week of March 30th regarding an incorrect scorecard. The league schedule for 2011 is now posted on the web site. Handicap Chairman’s Report: There continue to be posting issues regarding the weekly RRSMC tournament scores. The RRSMC web site has all posting information recognized by the NCGA and shows all non-posting members throughout the year. The penalty for non-posting will include disqualification in future RRSMC tournaments . Remember if you play you post. Posting all scores provides the most accurate handicap when playing the RRSMC weekly tournaments. The board will continue to monitor the weekly postings and discuss possible avenues to deal with continuing non-postings. Rules Chairman: Nothing to report. President’s Report: Nothing to report. Old Business: Winter Rules still in effect and will be monitored on a week to week basis. New Business: The RRSMC Board discussed the over 80 years young and 25 handicap guidelines which has allowed players to use the red tees. After a very lengthy discussion the board voted for the following guideline change: Any RRSMC member turning 80 years young will have the option of playing from the red tees regardless of handicap. Qualifying members please contact a board member so the red tee can be set as the default tee in the Rooster Run NCGA computer. This change to the club playing conditions will go into effect as of May 1, 2011.
